- THE BRIEF
Full logistical and organisation for the exhibition, conference and conference dinner with over 1200 attendees across 2 days, 80+ exhibitors, 2 day event agenda, street food village and 15 + suppliers.
Day 1 also included a gala dinner for up to 400 guests.
Sourcing of all suppliers was included, as well as interior designers for the catering spaces.
WHAT HUXLEY EVENTS ORGANISED
- Full audio visuals organised for the event with a fantastic production company including full staging, set backdrop, large screens, sound equipment, silent disco head phones (for two further stages), a “pint, pint and prosecco” stage with full LED screens, as well as uplighters and room dressing for the gala dinner. From background music to presenters slides, everything for the event was covered to an extremely high specification
- Catering included unlimited tea, coffee and squash throughout the two day event, including fully biodegradable cups. Water coolers were also sourced for the event from a local supplier to ensure hydration was a top priority for the 20+ degree weather. A food village was also created with Huxley Events sourcing 5 different food trucks and caterers for guests to purchase from through-out the event. A full bar team was arranged for the event, which included prosecco and bottles of beers during the pitch, pint and prosecco element of the event. Finally, the Chef Alex team created a 3 course locally-sourced menu for the gala dinner.
- Event infrastructure included medics, a full security team (including briefing the local Police Force), cleaners and overnight security, ensuring safety was a top priority through-out the event.
- Electrical support was provided to ensure all stand holders had access to electricity, as well as the caterers, AV team, appropriate power for food vendors. This included the creation of full electrical plans, working with the team.
- Stands Supporting with the logistics for companies with free build stands, as well as supporting the shell company with their logistics.
- Full event coordination and sourcing of all furniture and linens for the entire event.
- Event Managers Huxley Events provided 3 event managers on site for the duration of the event to ensure the smooth running, trouble shooting any issues and fully supporting the client with registration and the gala dinner. Their roles also included full event set up and change round from day time to night time
- Catering areas designed by interior designers to bring flair and sophistication to the event
- Provided branded t-shirts for student volunteers
- Event management plan, fire risk assessment and full supplier briefings to all included in the event
